THE WALKTHROUGH

A practical start-to-finish sequence.

Keep the steps visible while you work. You can begin with partial information and come back when a fact becomes clearer.

  1. 01

    Make a working copy

Open the interactive workbook and download the four XML templates. Save working copies in a location appropriate for your business. Read each file’s Instructions sheet before editing, then replace or clear the clearly marked sample row or sample values.

  2. 02

Start with the route and purchase facts you know

Begin with the facts you can support today. Put the known monthly revenue, operating costs, route purchase price, and other purchase costs into the workbook. Leave unknown values blank or at zero until you have a basis for updating them; do not turn a sample into a claim.

  3. 03

    Organize customers and planned visits

In the Customer + Service Schedule, enter each customer once on Customers. Add one row per planned visit on Service Schedule and repeat the Customer ID. Use the filters and route order to make the next service run easy to find.

  4. 04

Record what is verified and what is still open

Use the purchase due-diligence checklist to write down the evidence or findings behind a check, the unresolved question, the owner or next step, and the decision or disposition. Keep uncertain items visible instead of treating them as settled.

  5. 05

    Carry equipment and onboarding follow-up

Use the Equipment Inspection Log for one item or component per row, consistent readings and findings, corrective action, an owner, a due date, status, and completion notes. Use the Customer Onboarding Checklist to move each customer from intake through setup, first visit, and handoff.

  6. 06

Revisit the entries before moving forward

Update the workbook and templates as records, customer details, equipment findings, costs, or transition plans change. Use the final decision fields to separate what is verified, what remains uncertain, what needs follow-up, and what should be reviewed with the appropriate party.

01 / ROUTE PROFITABILITY WORKBOOK

Use the inputs you actually have.

The interactive workbook begins with a worked example. Replace or clear those sample values with your own route facts; the decision snapshot updates immediately.

Inputs and update conventions

Expected route revenue

Use your best known or currently expected monthly amount.

  • Monthly route revenue
Monthly operating expenses

Enter the recurring monthly costs of servicing and managing the route.

  • Chemicals & supplies
  • Labor & subcontractors
  • Fuel & vehicle
  • Insurance, software & admin
Pool-route purchase costs

Capture one-time cash costs, including transfer, setup, or working capital.

  • Route purchase price
  • Other purchase costs

What the live results mean

Monthly operating cash flow
Monthly route revenue minus recurring operating expenses.
Total purchase costs
Route purchase price plus other purchase costs.
First-year cash flow after purchase
Monthly operating cash flow multiplied by 12, less one-time purchase costs.
Simple payback period
Total purchase costs divided by positive monthly operating cash flow.

Framing: revenue minus recurring expenses gives operating cash flow; the first-year view subtracts one-time purchase costs. This is a cash-flow view only.

Before you rely on a result: replace or clear the sample values, label assumptions you still need to check, and remember that the workbook does not include financing, taxes, or owner draw.
02–05 / OPERATING RECORDS

Keep each handoff findable.

These templates use simple row-level conventions so an operator can return to a customer, visit, inspection, or open item without rebuilding the context.

02 / CUSTOMER + SERVICE SCHEDULE

One customer record, many planned visits.

Use Customers once for Customer ID, name, contact, address, access, billing or account notes, service type, cadence, preferred day, route name, route order, assigned operator, visit status, and customer notes. Then use Service Schedule for one row per planned visit, repeating Customer ID and adding Service Date, Route Name, Route Order, Assigned Operator, Visit Status, Visit Notes, follow-up fields, and update notes.

Use the filter arrows to filter by date, route, order, operator, or status. Sort upcoming dates oldest to newest; sort Route Name and then Route Order to see the intended run sequence. Keep dates in YYYY-MM-DD format.

03 / PURCHASE DUE DILIGENCE

Give every question an owner and a disposition.

For each checklist item, capture Evidence / findings, Follow-up questions, Owner / next step, and Decision / disposition. Use the open-items register for additional items. Keep sources and periods clear, and label a statement, estimate, or sample entry as unresolved until it is checked.

04 / EQUIPMENT INSPECTION LOG

One row per item or component.

Identify the inspection, date, operator, site or route context, customer or site, category, component, model, asset or serial, and location. Record Condition, Reading / Measurement, Finding / Observation, Corrective Action / Follow-up, Owner, Due Date, Status, Completion Date, and Completion Notes. Keep readings and units consistent, and use repeatable condition and status labels.

05 / CUSTOMER ONBOARDING

Move from intake through handoff.

Add one row per customer or property. Move Stage through Intake, Setup, First Visit, and Handoff while assigning an owner and target dates. Keep service scope, cadence, access and site notes, equipment or water notes, customer expectations, communication setup, billing setup, first-visit readiness, Status, open follow-up, follow-up owner and due date, and Handoff Notes current. Use the Follow-up Log when one customer has more than one open item.

DECISION HANDOFF

End with a record of what you know.

Before moving forward, review the bundle together: what is verified, what remains uncertain, who owns the next question, and which costs, contracts, equipment, customer records, or operating details need attention. Update the files when the facts change; a current open item is more useful than a quiet assumption.

Organizational boundary

RouteCairn is an organizational workbook and template bundle. It is not financial, legal, tax, insurance, licensing, safety, or other professional advice. Consult qualified professionals and the appropriate sellers, customers, agencies, and other parties for situation-specific questions before relying on a decision.
